B1.1 User Manual Organization

D The EM/dBS Equipment Maintenance System is an integrated
D software package which can be used to manage the many
D aspects of equipment maintenance. You can set up a very
D simple or a very sophisticated system, depending on your
D needs. In order to be able to take advantage of all of the
D features offered by EM/dBS, you should familiarize yourself
D with the contents of this manual. Once you become familiar
D with the system, you should need the manual only as an
D occasional reference source since the program is designed to
D be user friendly and self-explanatory. Pop-up windows are
D used, when possible, to help speed data entry.
D
D The Introduction briefly summarizes the features and
D operation of the program. Chapter 2 includes detailed
D instructions for program installation. Names of menus will
D be displayed in italics in the text of this manual.
D
C NOTE: Please read the program installation procedure before
C attempting to install the EM/dBS Equipment Maintenance
C System program on your computer.

D Reading Chapter 3 will give you an overall understanding
D of the data used by EM/dBS. Chapter 4 details how to use
D EM/dBS (after the initial support, equipment and parts data
D have been entered), explaining daily, weekly, monthly, and
D annual procedures. This section will be useful as a
D reference for the monthly and annual procedures. Chapter 5
D stresses the importance of regular data back up.
D
D Chapters 6 - 9 offer detailed descriptions of how to use
D the Work Order Main Menu, the Equipment Main Menu, the
D Parts Main Menu, and the Support Data Main Menu options.
D The remaining chapters discuss error messages, database
D formats, and sample report formats.

D The EM/dBS program is written and compiled in Clipper(TM), a
D language whose database files are dBASE(TM) compatible for
D those who wish to create their own custom reports. Clipper
D programs also run faster than dBASE programs.
D
D EM/dBS has four main subsystems: Work orders, Equipment,
D Parts, and Support Data. The program's main menu is
D organized into these four categories for easy access to key
D functions.
D
D The Work Order Main Menu provides a gateway to the
D scheduling and tracking of both scheduled and unscheduled
D work orders. Scheduled work orders are generated according
D to a preventive maintenance interval schedule assigned to
D each equipment item. Unscheduled work orders are entered as
D required for repair and other documented work requests. As
D work orders are closed, the work order information is
D retained as equipment history and maintenance costs are
D tabulated. Each month, a summary report is generated which
D provides an itemized work order data summary for each
D individual department/account. While individual work orders
D are pending, various status reports can be generated.
D Management level reports are available to predict future
D manpower requirements for scheduled work.

C NOTE: Proper generation of work orders requires the prior
C establishment of the Department/Accounts,
C Vendor/Manufacturers, Equipment Class Codes, Employees, PM
C Procedures, and Service Codes. These databases are found in
C the Support Data Main Menu options. Equipment records must
C also be entered using the Equipment Main Menu - "Add New
C Equipment" option.

D The Equipment Main Menu provides access to the equipment
D inventory databases. Through this menu, equipment
D information can be added, displayed, edited, and printed.
D Search functions are available which allow printing or
D displaying equipment items by identification number, serial

D number, model number, equipment description, vendor,
D manufacturer, equipment class, or by the miscellaneous data
D field. Equipment classifications or categories are
D established for similar types of equipment. (For example,
D MOTOR might be used for a general equipment classification
D for motors, or alternatively, MOT/GE might be used to
D classify all General Electric Motors.) Each equipment item
D may have one or more Preventative Maintenance Schedule which
D determines the maintenance intervals and procedures. Each
D schedule can reference one of a group of custom Preventative
D Maintenance Procedures which are established in the Support
D Data Main Menu. Various detailed reports are available to
D provide timely management information as required.
D
D The Parts Main Menu provides access to the part inventory
D databases. Parts can be added, displayed, ordered, and
D received from this menu. EM/dBS will print a variety of
D parts inventory reports as well as purchase requisitions to
D the correct vendor for back ordered parts. Search functions
D are available to find parts by part number, inventory
D number, part description, vendor, manufacturer, equipment
D class, location, or the notes field.

D The Support Data Main Menu allows the maintenance of the
D various support databases, which contain information about
D Manufacturers and Vendors, Accounts or Departments,
D Employees, Service Codes, Equipment Class Codes, and
D Preventative Maintenance Procedures. These databases should
D be established prior to creating work orders, equipment, or
D parts. After the Support Data information has been entered,
D the EM/dBS system uses pop-up windows in other parts of the
D program to select the proper values, speeding up subsequent
D data entry.

D The Support Data Main Menu - Utilities Menu is used to
D change printer configuration, screen colors, scheduling year
D (12 month or 13 period year), and other program setup
D options.
